Ability to multi-task in a busy environment, prioritize, and establish and meet deadlines. Ability to work in a communicative, interactive, and team-based setting. Proficiency with MS Office suite of programs, including MS Word, Outlook, Access, Excel, Publisher and PowerPoint. Duties The Office Administrator reports to the Head of School. The Office Administrator is responsible for all administrative duties relating to the school as delegated by the Head of School. These include, but are not necessarily limited to, the following areas: • Provide primary administrative support to the Head of School, Director of Admissions and Development and Business Officer so that the office functions in a professional manner. These duties include correspondence, copying and other related tasks as directed. • Provide receptionist duties so that callers, parents and visitors receive appropriate and accurate information. Assist community as needed with information, brochures, etc. Screen phone calls and take messages as appropriate. • To create and maintain a roster of available guest teachers and coordinate their hiring as needed on a daily, weekly or long term basis. Take evening and morning guest teacher request duties. • Responsible for communications with parents and faculty through Pathfinder E-news and other sources as needed. Assist in coordination and scheduling of parent-teacher conferences. • Maintain master calendar and facilitate scheduling for use of the Fireside Room and other campus facilities. • Maintain database system including current families, faculty, grandparents, and alumni. Provide support in maintaining development and admissions databases. • Maintain student records: coordination of TPS Licensing data, CA-60 files, Attendance File, Report Cards, Health and Immunization Records, and County and State Child Care Reports. • Responsible for ordering office supplies and overseeing the daily functions of office machinery including but not limited to fax machine, copiers, phone answering system and printers. • Provide mail assistance by coordinating both incoming and outgoing mail and ensuring that all large and bulk mailings are processed according to postal standards. • Responsible for opening administrative offices each morning and having the office ready for business at 7:45am. • Provide administrative support and receptionist duties to summer camp. • Maintain current and historical files for all school affairs and retrieve information as needed. • Provide occasional coverage for evening and weekend events as determined by the Head of School. Skills General Must have excellent interpersonal skills and be comfortable working collaboratively. Must have strong written skills. Must be confident, competent, committed and self motivated. Must be able to work in a busy environment while multi-tasking and meeting tight deadlines. Technical Must be comfortable with learning new software. Must be able to use multi user telephone system.
